What sorts of information does SIGNZ store about a site?

The following discuss the different sections of the Sites screen within the main signz program.

 

Site Search - As the screen shot on the right shows, signz can search for sites based on a number of different pieces of information:

Site Number - The Site Number is your reference number for a site.  At any point in time each site must have a unique number though these can be changed over time.  This will also search the Alternate Number field (see below).

Address / Location - A street name or other location information.

Size or Area or Grade (not shown) - These can be used alone (give me a list of 6x3 metre sites for example) or in a combination (6x3 in Avondale for example).

Inactive Sites - Sites are never deleted from signz- instead they are just made Inactive if they are no longer in use.  This keeps the history of the system intact. 

Private Sites - Sometimes you want to put a site in your inventory but not advertise it to the outside world.  Private sites will not appear in the Avails or appear on the web site.

Basic Site Details - The basic Site Details tab contains the main information about a site:

Site ID - signz generates a unique number for each site and uses that number to track the site throughout it's life.  This ensures the integrity of the system - even if you decide to change the user defined Site Number.

Site Number - As discussed above, this is a number (alpha-numeric, up to 15 characters, no spaces) that is used on all listings and for searches.  This number can be changed by the user by a historical of all changes is maintained.

Location - Street address or other descriptive information.

Grade - Not shown in the screen shot but signz does have the ability to store a grade for each site (A, B, C for example).  Grades are enabled via the signzoptions utility.

Map co-ordinates - For mapping and web site use.

Area - signz uses a three-level hierarchy for Area.  These roughly equate to State, Region and Suburb (or other locality).  For example by selecting Bankstown from the list you are placing the site at a certain location - Bankstown (Suburb), Sydney (City/Region) and NSW (State).  In the Avails and Web modules we can search for sites using any of these three area levels.

Sizes - These are user-defined entries used for search and display.  The screen shot shows two entries that can be used for size.  A site may be an odd size (say, 6x4 metres) and you want to list it as it's true size but also make this sites appear in listings for 6x3 metre sites.  Unlike the virtual sites feature this does not create another site number (or price!) but does make searching more flexible.  

Direction - North, South etc or maybe Inbound or Outbound.

Private and Inactive - discussed above.

Council Registration # - Officially this is the Alternate Number field and the on-screen prompt can be changed via the signzoptions program.  Useful for secondary search as any search on site number will also search this field.

User Defined Fields - The screen shot shows Car Count and Quality fields on screen.  signz has 12 user-defined fields that can be used to store any required information.  These are not searchable but can be used on Powerpoint site cards, Avails, and the Web.  The first 2 fields are shown on the Site Details tab.  The whole 12 are shown on the Site Information tab.  

The prompts for these field are, funnily enough, changed via the SIGNZoptions program.

Features - The features tab is used to describe the 'good' and 'bad features or a site.  These features are user-defined and may include firstly things in the 'good' category like lighting, proximity to key geographical or commercial places (schools, supermarkets, etc).  'Bad' things may include restrictions on material (no alcohol, no lingerie), access problems or extra equipment required.

As the list can be added to by the user this can be very powerful.  These features can be searched from Avails to you can specifically search for "6x3 sites in Victoria that are close to high schools and have lighting" or other combinations.

Availability - This shows a day-by-day breakdown of site availability.

Bookings - This tab shows a detailed listing of bookings on this site.  By default you will see current and future contracts but you can also select to view historical bookings.

signz can handle 'hold' or 'pencil' bookings on both a contract and individual booking basis.  signz has an ROR flag for bookings to indicate that a client has requested Right-of-Renewal status.  An ROR flag prevents any bookings to be made on this site than are later than this booking, basically reserving this site for this one client.  ROR flags are automatically dropped if the client does not renew the booking.  signz can automatically send emails to clients to remind them of upcoming ROR renewals required.

Waiting List - Sites can may a waiting list for times when a customer wants a specific site but that site is in use for some reason.  Maybe someone else has an Right-of-Renewal for a site and we are waiting to see if they will take it up.  Maybe somebody has a hold booking on the site and we want to waitlist it for somebody else in case this site becomes free.

If the site DOES become free the key signz operator(s) will be notified immediately and this waiting list entry can be turned into a 'hold' booking at the touch of a button.

Pictures - signz can store pictures for re-use in many ways.  signz can store what is referred to as a 'default picture' and this is the images that will be used by default of Powerpoint slides and the web site.  signz will also allow you to store many alternate views that can be selected by the user (web or Windows).

signz can store a default map as an image (instead of, or in addition to, mapping co-ordinates) for displaying a static location map on the web site.

Lastly, signz can store installation photos.  Most of our customers take digital photos of each site for confirmation to the client.  These photos can be loaded into signz for display on the web site or for inclusion in Powerpoint slide shows.  signz can automatically email clients to notify them of new photos.  The email will contain a link pointing to the new client's photos on the web site.  signz can also build a complete Powerpoint set containing all the installation / campaign photo for a given period.  This file (or a web link to it) can then be emailed to the client.

Notes - There are currently five different sets of Notes for a site and these may contain data that can be used in different places.  The General / Public notes are displayed by default when creating bookings, viewing a site via a site card or via the web or when creating Powerpoint slides.  

Other notes fields can contain notes that are private to each department and view / edit capabilities can be controlled via the signz security system.

Pricing - signz can store multiple media rental costs (daily, monthly and soon weekly) for each site.  These prices can then be applied for various time frames so that you can set a price increase for some time in the future then forget about it.  Any new bookings will use the correct price for their starting date.

Information - As discussed in Site Details above, signz has 12 user-defined fields that can contain any information that you may need to store about a site ... car count, visuals per day, approval numbers, legal or accounts contact details ... anything.

Auditing - signz keeps track of every major change to sites, bookings, customers, contract, owner / landlord payment details and much more.  The information is displayed via the Audit tab on each screen, allowing users to quickly see when a change was made to certain data (say, a booking being altered) without having to go hunting elsewhere.

A certain change can appear in many places.  A change to a booking, for example, will appear on the Audit tab of the Site, the Contract, the Company and the Person being billed.  That way you can see the information that is relevant wherever you are in the system.
